Planning your reception

A wedding is the party of your lifetime, the one moment when you want everything to be perfect. Reception planning is fun with sampling different wedding cakes, choosing gorgeous floral combinations and just plain being in charge of how the wedding of your dreams takes shape. Because the reception expenses cover such a large percentage of the budget, planning for a reception should be discussed much earlier than the wedding day.

Since everyone is invited to the reception, now is the time to settle on the size and place so that there will be sufficient funds allocated to cover the additional wedding expenses for music, flowers, gifts, photographs etc.

Some tips for reception
Start early
The most popular wedding service providers in your area may be booked a year in advance. If you begin working with the service people early, you will have plenty of time to get all the details right. Starting early will give you vast options to go through and select the best for your wedding.

Be assertive but not rigid
Remember it's your wedding and that you are the expert and the best consultant on what you want. Getting a little brief idea from friends and relatives and books can provide you with lots of information about a wedding. You can have creative ideas for your wedding and make your fantasies come true.
Be assertive and you will get your work done smoother and faster. Before planning, give an ear to friends and family for ideas for that perfect wedding you dreamed off!

Specify all details in writing
You must make a contract or letter of agreement with each wedding provider and make sure the wedding professional signs the contract or agreement which should specify dates / time / prices and description of the service provided. Without both signatures over the contract, it will not be enforceable. Make a note book and keep track of all the work you are doing and all the planning.

Number of guests
The budget depends upon the number of guest invited to your wedding, so breaking down a budget depends upon having a reliable number of guests. Until you know how many guests you will have for your wedding, it is very difficult to anticipate the size of the venue.

Have a budget
Know approximately how much you can spend on each particular area before meeting with a service provider; it's a good idea to call three to four other vendors service for an to estimate.

Your wedding music
Music sets the tone of the reception. Music provides a continuous thread that weaves through the celebration . T he emotional tempo stirs memories, reinforces customs and tradition s and brings people to their feet.

Having music at a Jewish wedding is considered a religious obligation.
In ancient customs, playing of the flute before the ceremony was considered holy.
Music allows you and your guests to express enthusiasm, communal identity and collective joy and helps create memories that linger for years to come.

Consider the following when choosing your music :
A soft trio would be lost in a big hall, while a loud band would overpower a reception in a small room, so while making arrangements for music, be sure of the size of your reception.
It's hard to please everyone, so consider a band / DJ that can play a variety of tunes. Most guest s prefer softer music.
Extra service provided by DJ/band would be like a Master of Ceremonies (MC) to make an announcement of the reception events.
The right music will add enjoyment to the reception so you'll want to make a good choice when hiring musicians.
Get reference from friends and relatives about the musicians.
Listen to the band /DJ before making the final selection or arrange to hear them play if they are performing in public.
Inquire about a break and if they can perform music you and your guest like.
Request the musicians to dress in style and formality suited to your wedding.
Be prepared to pay a deposit beforehand. The remainder of the fees is usually paid at the end of the reception.
Discuss how active you want the band leader to be in making announcements at your first dance /toast/cutting of the cake.
Specify names, hours the band performs for, date, cost, and site including overtime rates in writing.

Ceremony music
There is essentially four segments at the church.
The period when the guests begin to enter the church to seat themselves and the recessional while leaving the church.
Permission must be taken from priests about the kind of music played in church.
The ceremony music must be more soft and melodies.
There could be a choir or just instruments depending on your choice.

Recorded music
Popular options available on pre-recorded tapes or a DJ may be to choose songs based on the guests ' reaction and your pre-requested selection.
A disc jockey (DJ) may also act as a master of ceremonies.

Advantages of recording music.
DJ and their equipments are now of excellent quality.
The setup requires less space than the band.
Song quality is excellent, of a wide variety and the music is continuous .
The cost can be half that of a live band.
If you want a DJ, find out in advance how he/she works.
Ask friends or the reception site manger for recommendation.
Some DJs pride themselves on sizing up the crowd or sensing the pace of the party and don't like to take requests.
Some DJs only specialise in a certain type of music.
Make sure the DJ you hire is willing to play whatever you want.
Also see a demo tape of your DJ or a live performance.
Then sign a contract with the DJ about listing hours, fees, overtime, time of first dance, kind of style and particular songs. Make sure there are enough electrical outlets and other necessities.

Hiring musicians
The number of musicians you hire is usually determined by the following considerations :
The size of your budget.
How many segments of the wedding you wish to cover and how many hours that entails.
Space and acoustics.
The complexity of your arrangements.
Whether or not you want continuous music or dancing.
Whether the band can and will provide its own formal attire.
Set up appointments with the band ' s leader or agency representative with as much information as you can get about what you want.
Basic charges.
Number of musicians and number of breaks.
Schedule of events.
Special requests.
Backup policy in the event that a musician falls ill.
Whether you hire a single band or individual instrumentalists and soloists you should have a formal contract with each covering all the items listed above.

Once again personal recommendation s are the soundest way to begin looking for a photographer.
When you have compiled a list, make appointments to see each one of the photographe rs .
Remember that top wedding photographers are in great demand and tend to be booked far in advance.
Look carefully at the work you are shown. Style and quality are the things that matter the most.
Make sure that you have brief knowledge about photographs like well taken, well lit photos or sharper picture will make you and your guest look even better.
Make sure that the photographs are beautifully printed and well arranged with an album.

There are two type or styles of wedding photographers:

Portraits of bride and the groom are mainly focused.

Wedding photographs:
These photographs are actually taken at the ceremony and reception.
It includes candid pictures , formal grouping and documentation of important reception events.

New trends in wedding photographs to consider:

The photojournalistic approach in which the photographer takes shots as if he/she were covering a new s story. There are no posed pictures taken but a collection of true life vignettes.

Black and white photographs are finding their way back into wedding album s; a classic look that may age better than colour .

Photo display of bride and groom from birth to marriage are mounted in the w edding album. Even Polaroid snapshots are given to the guest as a favour.

Soft focus portraits evoke a romantic feeling. The photographer darkens or clouds the corners slightly to draw attention to the expression of the bride.

Double exposures or special filters are used to create images such as candles, water, stars, as a background for a sensitive portrait.

Bear in mind the following considerations :
The size of your budget to be spent on the photographer and video camera man .
Which aspects of the wedding you wish to have covered .
The style of photographs you are seeking.
Ratio of candid shots, posed groups and portraits.
Schedule of events, special request and back up policy.
The time it will take for your photographs to develop.
You should have a formal contract covering all the items above.

Some question s for your photographer:
Could you get to see the sample of wedding albums ?
Who will be shooting the photographs – he or his assistant ?
Will he wear attire similar to that of the main participants in the wedding?
What will the photographs cost; will you be paying by the hour or for a complete day ?
How many day s will he take to deliver the photographs and how long he's going to have the negatives?
Is the album included and the other charges ? Specify it clearly .

It is very essential to have brief communication with your photographer.

Video shooting

A video brings your wedding day to life years later and it is fun and romantic to play the tape for everyone, especially for those who could n't attend your wedding.

There are three main kind s of wedding videos to consider.

The nostalgic video.
The video starts with a vintage photograph of the bride and groom. From there it might show the two of you in a favourite scenic spot. Scenes from the ceremony, reception, even honeymoon complete the tape. Often they are interspersed with shots of family members sharing special memories of you. Cost for this type of video can run high.

The documentary style video
This video uses only scenes of the wedding day. It may include shots of you and your groom getting ready, before hand scenes of guests arriving at the ceremony and reception site. The groom can wear a cordless microphone to record your vows at the altar. During the reception, the video camera man might conduct interviews, capture guests ' insights on marriage, and childhood anecdotes about you two.

A straight shot format
This kind of video shooting where only one camera is used , is the least expensive option since it eliminates the need for editing. Still the video camera man can add small touches such as including your names and wedding date at the beginning of the tape or a musical introduction.

Finding a video camera man
There are many inexperienced video camera men , so be sure yours has experience. Ask to view sample tapes of weddings and get references.
Check from newly weds and wedding professionals or bridal consultants.
Ask local photograph y studios for sources.

Questions for video camera man
Set up a meeting at the wedding site for him to co-ordinate the activities. Figure out the placement of cameras. Discuss how lighting can be kept to the minimum etc.
Sign a contract with details such as date, locations, start and finish times, number of cameras, amount of editing, name of camera persons, appropriate dress for the video camera man and his assistants , cost etc.

Invitation
Select a stationer and place your invitation order at le a st three month before your wedding. The stationer will need several weeks to order the invitation. You will need two weeks to address them. They must be mailed early to allow adequate time for planning and responses.
Order a number of extra invitation s as keepsakes for you.

There are three type of printing process es that are available.

Engraving is the most expensive but also the most traditional and formal. The paper is pressed onto a specially treated steel or copper plate so that the letters are slight l y raised from the page.

Thermography is a printing process that fuses ink and powder or resembles engraving. Due to recent advances in this technique it can be hard to distinguish from engraving although the quality varies from printer to printer. Thermography is less costly than engraving.

Offset printing is the most affordable with many colours and styles available but the look is less formal.

Many different kinds of paper are also available. The most formal invitations are engraved on the page of a double sheet of white or ivory paper. Calligraphy had become in creas ingly popular for the wedding invitations. Calligraphy means an elegant italic script, but it takes several weeks to address the invitations. Today many stores have computerised calligraphy machines to create a perfect script.

Catering
Serving your guest with best and good food is your first concern so the caterer does the most important job of all in your wedding reception.
Make sure your caterer is well known and will provide the kind of food you'll want for your guest.

Some tips to deal with your caterer.
It's good if you get reference s from friends and family about the best caterers around your area.
It's good to have a contract written with your caterer and the variety of food to be served for the wedding.
Make sure that the caterer provides juices / water / starters inclusive with the dinner.
Make sure all taxes are inclusive with the package.
Make sure the caterer provides the staff for your wedding.
Have a taste check done before you select the caterer.
The caterer must give you different choices of food menus so that you may select food of your kind.

Selecting a caterer.
These are the question to ask your caterer :
What is the cost / what exactly does it include ?
What is the maximum number of guest s the caterer can handle ?
What is the estimate cost per person?
Do you have a set menu? C an the menu be modified?
Within h ow much time do you need to confirm your selection of his services, to the caterer ?

Do they set the table and provide linen for the t able ?
Do they provide the wedding cake ?

What is the policy of payment ?
What are the additional charges ?
Make sure all the clauses and details are written down in a contract with the caterer.

Make sure that the time and date and the place name is mentioned in the contract.
Tell the caterer about your favourite sweet and ask whether he can provide it for the wedding.

Transportation
The wedding car is the vehicle in which both the bride and groom travel from the church to the reception venue .
Most couples want classic, well decorated, unique vehicles - a special car for a special and unique day!

The most commonly chosen is a white car.
Limousine service is the most elegant and is available in most areas. All you need is to get the arrangement done at least a month before the wedding.

Hiring your wedding car:
The most commonly chosen car is the limousine with all the beauty it has to offer. It all depends on your budget, whether you want a limo or any other car.
Traditionally, the car picks up the bride from her fathe r's place and then goes to the church and then to the reception venue .
You can either hire one or many other cars depending on the guests and the number of people travelling.
Most of the car services charge you from the moment they start to the end of the day.
The hire charges for a car depend on the numbers of hours for which you hire the car.
Hire a car from a service near your house.

When hiring a car:
Ask if there is a minimum rental time, are gratuities for the driver included in the price?
Is a deposit required and when is the balance due ?
What form of payment will be accepted or can the bill be sent directly to your home ?
Checking your vehicle before renting is very essential.
Specify the car you want in the contract , while hiring a car.
Make sure the timings are discussed in the contract as to when and what time the car will do the pickup.
Exact addresses of your home, church ceremony and reception venue should be given.

Tips for your wedding transportation:
First you have to know the number of people that need transportation in order to estimate the number of cars required.
Take help from friends and relatives for the vehicle and transportation of guests to the ceremony and reception.
The placing situation needs to be carefully evaluated at all three locations (at home, ceremony, reception).
In some cases it may be is necessary to provide maps and directions for out of town guests to prevent them from getting lost or being delayed.
Assign a reliable person who would organise the transportation for the wedding day.
If your wedding is large, make sure that your reception provides you with parking space for the cars.
You could hire attendants to park the cars in order and cause no problem for parking.
The bride and groom can opt for cars like limos, antique cars or convertibles to enjoy the ride to the reception depending of course on the locale and time of the year.
While hiring the car, make sure it is spacious, clean and it's relaxing to sit back and be transported by a competent uniformed driver.
Hiring a big vehicle will do justice to all your guests with proper accommodation.
You could go out of the way by hiring a person to take care of transportation of guests and family members.
This includes transportation for all members of the wedding party from home to the ceremony and from there to the reception.
Make sure you hire a professional driver for your wedding.
Make sure that the driver is early on time for your ceremony.
Be sure your driver is well versed with the different venues (ceremony, reception, after reception).
Be sure you thank the driver with a small gift, or cash would be good.

Decorating your wedding car:
Before the car is taken for the ceremony, the car is decorated with flowers, balloons and crepe paper according to the couple's wishes .
After the church ceremony, the best man festoons the car with "just married" decorations.
Safety first: don't obstruct the driver's view in front or at the back.
Avoid glue, cello tape, rubber tape which may damage the car.
A florist can decorate the car with garlands of flowers using floral tape and clips that won't harm the paint of the car.

Who goes first?
At a traditional formal wedding the bride ' s mother along with the bridesmaid leave the house first in one car.
If the reception is held away from the church, transportation should be arranged in advance.
The groom should be there in the church before the bride.
Mostly the car is se nt by the groom to pick up the bride and her attendants.

The flower arrangement for your wedding:
There probably were flower arrang e ments at weddings that you have attended .
Flowers have been part of weddings since ancient roman times when brides carried bunches of herbs under their veils (perhaps to ward off evil spirits).
Later brides held orange blossoms as symbols of purity. Today, flowers are found in every part of the wedding. The bride and her attendants carry bouquets, the groom and his men wear boutonnieres and other special guest s are honoured with corsages or hand held bouquets.
Flowers and garlands embellish the church ceremony site and floral arrangements ; decorate the reception tables and other celebration areas.
Begin to look for a good florist at least three months before the wedding.
Once you have chosen your florist, it's time to plan each arrangement. Give your florist as much information as possible.
The florist should visit the ceremony and reception venues to plan how best to decorate the place.
Get all the floral descriptions in writing, figure out costs and sign a contract together.

How to know your flowers:
Amaryllis - splendid beauty
Apple blossoms - temptations
Bachelor's button - celibacy
Blue bell - constancy
Daffodil - regards
Forget me not - true love
Gardenia - joy
Honey suckle - genuine affection
Ivy - fidelity
Jasmine - amiability
Lily of the valley - happiness
Myrtle- love
Red tulip - love declared
Red chrysanthemum - I love you
Violet - modesty
White camellia - perfect loveliness
White daisy - innocence
White lilac - first emotion of love
White lily - purity of innocence

The importance of flowers on your wedding day.
It's perfectly natural that you love the beauty and fragrance of flowers, because you are a sensitive person and you want your wedding to be remembered by all those attending. After all it's a once in a life time event.
Your bouquet should reflect your personality and style of wedding that you have chosen. There is probably no aspect of a wedding that has changed so much over the years as what one used to think of simply as flowers.
Under that heading were included alt a r flowers, flowers to decorate the pews, a bridal bouquet, attendants ' bouquets, baskets of posies for the flower girls, wedding car etc.

Flowers were always an int eg ral component of weddings and to get them, one sought out a florist. Nowadays it is not merely a matter of arranging for the flowers, but establishing the overall décor of the wedding. Cat eg ories of new elements of draperies lines, linens, special chairs, lighting trees, candelabra carpets, crystal and any number actual stage props, all of these int eg rated to transform space and create the ambience desired or to better showcase a space that needs little enhancement.
Flowers remain the focal point for the designer but the ultimate goal is to co-ordinate all the visual aspects of your ceremony and celebration to blend harmoniously and set the tone you want.
The options are limitless from minimalist to opulent to fantastical, so you should begin with whatever mental pictures you have of your wedding.
In the absence of any clear mental image or confirmed preference, start pouring over magazines and books and looking at old films to see what appeals to you.

You and your floral designer:
What are you actually getting when you hire a floral designer?
At best you are engaging the creativity and expertise of a professional (someone capable of designing , acquiring, producing and carrying out all the decorations for your ceremony and reception as well as the flowers you and your bridal party will wear and carry).
There are several ways to work with the floral designer.
To give the designer whatever information you have including your preference, your special needs and your budget.
Allow your designer to create something original for you.
Another possibility is to request that the designer recreates something he/she has done for another event.
Make sure that you di s cuss your budget first along with your designer.
Make up a list of flowers that have some special meaning for you and your fiancé or are personal favourites.
Make sure that the flower s that you use have symbolic meaning.
For the sake of clear communication prepare for your first meeting by collecting tear sheets from magazine photos of the wedding party, material of your gown and attendants dress.

The bridal bouquets:
Choose a bouquet that goes with your dress and body proportion. Some brides may prefer simple flowers.
The shapes, styles and colour of bridal bouquets are practically unlimited. Choose from small nosegays, baskets , single bloom or silk.
One popular trend is to carry an armful of long stemmed flowers on one arm, prestation style or consider a tussy mussy - a finger held bouquet of small flowers and fragrance herbs.
White is the traditional colour for bridal bouquets. Many brides are also choosing vibrant colours to mix together for textured looks.

Flowers have romantic meaning so you may want to create a bouquet with a message.
Silk flowers can look very life like and are less perishable then the fresh flowers.
The shape and composition of a bridal bouquet is best determined by such considerations as the formality of the wedding gown, its style and fabric and the brid e's height as well as personal preference and the overall colour scheme.

The bridal bouquets are generally fashioned in three basic styles:
The cascade bouquet: in which a cluster of blooms spill gently to a triangular point.
The crescent arm bouquets: which nestles in the crook of the arm and drapes down.
The classics nosegay: a small tightly gathered circle of flowers.

Wearable flowers are new bridal accessories. Florists can create fresh flowers boas, necklaces, and bracelets.
A flower covered prayer book or bible is a beautiful touch for a large religious wedding

Brides maids flowers:
The honorary attendants bouquets are often different in colo u r and size from the brides maids flowers. Attendants bouquets are usually similar in shape to the brid e's bouquet but smaller and in harmony with the wedding colo u r. If any brides maid have allergies to pollen, your florist may suggest flowers or varieties of fresh blooms that are low in pollen.

Flowers girls:
Traditionally flowers girls carry baskets of loose petal s to strew in the aisle before the bride.
Small flowers are most appropriate for small flower girls e.g. lily of the valley, sweetheart, rose buds, violets.
Brides have been know n to slip on the petals; so many flowers girls today carry silk petals.

Groom and his attendants:
The groom and his ushers traditionally wear boutonnières in their left lapels, traditionally white carnation, rose, lily.
Other choices: onciduim, orchids, cornflowers, delphinium especially in colo u rs that match the wedding colo u r schemes.
Groom might also choose a flower with meaning.

Ceremony flowers:
Order floral decoration for your ceremony that match the size of the church, the formality of your ceremony and budget. Position the vases of flowers on either side of the altar and on every pew.
Overly elaborate arrangements can be distracting while small ones get lost. Potted plants that can be used later are an economical compromise.
Use a lot of foliage such as ferns mvy ficus (?) tress palms . Set an arbour of flowers at the altar of frame the bride.
New trends in ceremony decor is to announce a wedding taking place.

Reception flowers :
Floral arrangements are appropriate on buffet table, cake, table near entrance.
Cluster small buds, vases in the middle of each reception table when the wedding is over so each guest takes home a bud vase as a favour.
Consider combination of non-floral decorations such as lights, ball o ons, candles.
Warm your wedding with ficus trees pslams(?) other greenery.
Make yourself feel that your wedding is a dream come true.

The wedding cake
Cake is the one element no wedding reception would go without. The wedding cake is the highlight of every reception. It a ritual when the bride cuts the first slice of cake which she offers the groom to signify that she is willing to share with him now and forever.
Wedding cakes have come a long way since the barley cake the Romans made as an offering to Jupiter. Since then, it's developed to sweetened buns to royal wedding cakes.
The cake on which the icing is made is the splendour of modern day weddings.
Selecting the wedding cake means pricing well and sampling for the best.
There are from the best to the worst in the market, all you've got to do is select the right kind of baker to bake your cake.
The best way to go around (?) with your baker is to know what you want.

There are many choices and flavours and decoration in cake making.
Traditional wedding cakes are made of white or yellow sponge cake, wine cake, and fruit cake.
The different kind s of flavours are chocolate, carrot, wine, rum etc.
The frosting of the cake can be butter paste, or gum paste to create fantastic floral designs.
There are different shapes in cakes. You can either choose heart, round, square, rectangle or any shape that you would want for your wedding.
The wedding cake whether it's a sculpted wonder of delicate design or a many-tiered garlanded one, it is a symbol of marriage and unity.
When selecting the decoration for the cake all white or white with pastel is very popular for the wedding occasion.
Besides the floral decoration symbols like swans, bells, doves, hearts, or cupids are frequently used to decorate cakes but it is not usual to put any sort of writing on the cakes.
Whether the cake is made at home or in a bakery, top ornaments are very similar

Some wedding cake tips:
Make sure you know some close friend who make a wedding cake because the costing of the cake may be more reasonable than that of a baker.
Make sure you let the baker know what kind of cake you want, whether rum or wine etc.
Be sure of the price of the cake and extra fees for delivery and set up.
Get the cake details in writing like the shape, colour and flavour.
Make sure you get a sample of your wedding cake and whether it will be changed or not.
After all the cake is to be enjoyed and also look great.

The most important day of your life!
She looks beautiful, fantastic!!!! These will be everyone's comments on your wedding day which will never be forgotten. The secret of a successful day is organised, timely planning and great execution .
Your make up should look as natural as possible. Don't overdo it. Avoid frosted lipstick and too much of blush. Silver and gold eye shadows are not recommended. Try using natural shades of nail paint. It will be best to try different hair dos and see what style suits you the best.

Nervousness and tension
If you are the nervous type, avoid drinks having caffeine, avoid change in perfumes, soap and cosmetics during three to two week before the wedding.
On your wedding day, avoid active perfume. The best would be a soft, sophisticated spray.

Breakfast
"Breakfast is the most important meal of the day". It's definitely true and you must not miss it. Keep in mind that your wedding will be a very long and exciting day and therefore a big breakfast is recommended. Avoid eggs and butte r, go more on fruit.
